Throughout these terms, “we”, “us” and “our” refer to A Toast to Toasties Ltd.

“You” and “your” refer to the individual or organisation making the booking.

2. Our Catering Services

We provide mobile catering services for weddings, corporate events, festivals, private parties and other agreed occasions.

Our services may include:

The precise menu, guest numbers, event location, service times, drinks arrangements and price will be confirmed in your individual quotation and booking confirmation.

Only services specifically included in your confirmed booking are included in the agreed price.

3. Enquiries and Availability

Submitting an enquiry through our website, email or social media does not constitute a confirmed booking.

All bookings are subject to availability, suitability of the venue and our ability to provide the requested services.

We may request additional information before preparing a quotation.

An event date is not reserved until the booking has been confirmed in accordance with Section 5.

4. Quotations and Pricing

We provide personalised quotations based on your event requirements.

Your quotation may include:

Any minimum booking value will be confirmed in your individual quotation.

We do not operate a fixed minimum booking value for all events. Minimum charges may vary according to the event location, guest numbers, service requirements and associated costs.

Any applicable VAT or other taxes will be identified in the quotation.

Quotations remain valid for the period stated in writing.

If your requirements change, we may need to provide an updated quotation.

5. Confirming Your Booking

Your booking is confirmed once:

Until these steps are complete, your requested event date is not guaranteed.

Please check your booking confirmation carefully and notify us promptly of any errors.

6. Booking Deposit

A 25% deposit of the total agreed booking price is required to secure your event date.

The deposit forms part of the overall booking price and is deducted from the final amount payable.

The deposit allows us to reserve your date and begin planning your event.

If you subsequently cancel, any amount retained from the deposit will be assessed fairly under Section 11.

The deposit is not automatically non-refundable in every circumstance.

7. Final Balance and Payment

The remaining 75% of the booking price is due no later than 14 calendar days before your event.

For bookings made within 14 calendar days of the event, the full agreed price will normally be payable when the booking is confirmed.

Payment instructions will be provided with your invoice or booking confirmation.

If payment is overdue, we will contact you and allow a reasonable opportunity to resolve the issue.

If payment remains outstanding after appropriate notice, we may suspend preparations or cancel the booking where reasonable and legally permitted.

Any resulting cancellation charges or refunds will be assessed in accordance with these terms and applicable law.

8. Final Guest Numbers

Final guest numbers must be confirmed no later than 14 calendar days before the event.

These numbers will be used to finalise ingredients, staffing and catering arrangements.

Additional guests may be accommodated where capacity and availability permit.

Any additional charges will be explained and agreed before being applied.

If guest numbers decrease, any price adjustment will take account of the timing of the change, costs already incurred or committed, and costs we can reasonably avoid.

We will not charge for costs that we have avoided.

9. Menu Selections and Dietary Requirements

Final menu selections and dietary requirements should be confirmed no later than 14 calendar days before the event.

Please inform us as early as possible about any allergies, intolerances or special dietary requirements.

We will discuss whether we can safely accommodate particular requirements.

Changes requested after the deadline may be possible, but cannot be guaranteed.

Any additional costs will be explained before being agreed.

10. Changes to Your Booking

We understand that plans can change.

Please contact us as soon as possible if you need to amend:

We will make reasonable efforts to accommodate changes, subject to availability and operational requirements.

All material changes must be agreed in writing.

If a change affects the booking price, we will provide an explanation and obtain your agreement before proceeding.

11. Cancellation by You

If you need to cancel your booking, please notify us in writing at:

enquiries@atoasttotoasties.co.uk

The cancellation date will normally be the date we receive your written notice.

We understand that cancellations can occur for many reasons and will handle them fairly.

Where you cancel for reasons not caused by our breach of contract, we may retain or charge an amount that reasonably reflects our actual losses arising from the cancellation.

These may include:

We will take reasonable steps to minimise our losses, including avoiding unnecessary expenditure and considering replacement bookings where practicable.

We will not charge twice for the same loss.

The 25% deposit is not automatically forfeited upon cancellation.

Any amount retained must be proportionate to our reasonable losses and comply with applicable consumer law.

Where payments received exceed the amount reasonably due, we will refund the difference.

Where reasonable losses exceed the amount already paid, we may seek the outstanding amount where legally recoverable.

We will explain the basis of any cancellation charge upon request.

12. Postponements and Date Transfers

If you need to postpone your event, please contact us as early as possible.

We will consider one transfer to an alternative date, subject to availability and written agreement.

A transfer is not guaranteed.

Where a transfer is agreed, we will explain any reasonable additional costs resulting from the new date, location or requirements.

If we cannot accommodate the proposed date, the original booking may need to be cancelled, with Section 11 applying where appropriate.

13. Cancellation or Changes by Us

We will make every reasonable effort to fulfil your confirmed booking.

In exceptional circumstances, including serious illness, significant equipment failure, safety concerns or events outside our reasonable control, we may need to propose changes or cancel.

We will notify you as soon as reasonably possible.

Where practicable, we may offer:

We will not substitute materially different services without your agreement.

If we cancel and cannot provide the agreed services, we will refund payments for services not provided, subject to applicable law and the circumstances.

Nothing in these terms limits your legal rights to a refund or compensation where we are responsible for failing to provide the agreed services.

14. Travel and Additional Charges

A Toast to Toasties is based in Chester and caters for events across the North West and surrounding areas.

Our standard quotations will include travel within 20 miles of Chester, unless otherwise stated.

For events beyond this distance, additional travel charges may apply.

Where necessary, charges for extended travel, parking, tolls, accommodation or other event-specific expenses will be included in your quotation.

No additional travel charges will be imposed without being disclosed and agreed.

The applicable travel allowance and any additional charges will be confirmed in writing before your booking is finalised.

15. Minimum Booking Values

Minimum booking values may apply depending on the event.

These will be assessed individually, taking account of:

Any minimum booking value will be clearly stated in your quotation before you commit to a booking.

16. Venue Access and Trailer Requirements

Our mobile catering trailer requires a suitable, safe and accessible location.

You must ensure that:

Any specific electricity, water or other facility requirements will be confirmed in writing before your booking is finalised.

Please notify us of restrictions such as narrow entrances, steep gradients, soft ground, height barriers or limited parking.

If the venue is unsuitable, we will work with you to identify a reasonable alternative where possible.

Additional costs resulting from inaccurate venue information or late changes will be discussed and agreed where practicable.

17. Setup, Service Times and Delays

Our agreed arrival, setup, service and departure times will be confirmed in writing.

Please ensure we can access the venue at the agreed time.

Where delays occur due to venue restrictions, late access or changes to the event schedule, we will make reasonable efforts to adapt.

We cannot guarantee an extension to the agreed service period.

Additional service time is subject to availability and written agreement and may incur an additional charge.

18. Food Quality and Menu Availability

We aim to provide high-quality food using carefully selected ingredients.

Occasionally, a particular ingredient or product may become unavailable due to circumstances outside our reasonable control.

Where practicable, we will contact you to discuss a suitable alternative.

We will not make a material change to the agreed menu without your consent.

Your statutory rights remain unaffected if we cannot provide the agreed services.

19. Allergies and Food Safety

Food safety is a priority at A Toast to Toasties.

Please provide accurate information about allergies and dietary requirements before the agreed deadline.

Our food may contain or come into contact with allergens, including gluten, milk and other ingredients used in our catering operations.

We will provide appropriate allergen information and take reasonable precautions in accordance with food safety law.

Our mobile catering environment may involve shared equipment and preparation areas.

We cannot guarantee an allergen-free environment unless this has been specifically agreed and can be safely delivered.

Please speak to us before ordering if you or your guests have an allergy.

We reserve the right to decline a particular dietary request where we cannot safely accommodate it.

20. Frizzante and Alcohol Service

Where Frizzante sparkling wine is included in a booking, its supply and service are subject to applicable alcohol licensing laws and any required permissions.

We will confirm the alcohol service arrangements for each event.

Alcohol will only be supplied where the necessary legal authorisations are in place.

We operate an appropriate age-verification policy and may request proof of age.

We reserve the right to refuse alcohol service to anyone who:

If the necessary alcohol authorisation cannot be obtained, we will discuss lawful alternatives and any appropriate adjustment to the booking.

The responsibilities for obtaining event-specific alcohol permissions will be confirmed in writing.

21. Weather and Outdoor Events

Our mobile catering services may operate outdoors.

You are responsible for ensuring that the venue is suitable for the event and that relevant permissions and facilities are available.

We will take reasonable steps to operate safely in changing weather conditions.

Severe weather, high winds, flooding, unsafe ground or other hazards may prevent safe operation.

Where conditions make service unsafe, we will discuss reasonable alternatives where practicable.

Any cancellation, rearrangement or refund will be considered fairly, taking account of the circumstances, services provided, applicable law and responsibility for the disruption.

22. Health, Safety and Guest Conduct

We are committed to providing a safe environment for our staff and customers.

You must ensure that our team can work without harassment, threats or unreasonable interference.

Guests must not enter restricted working areas or interfere with catering equipment.

We may suspend or stop service where there is a genuine and serious risk to health or safety.

Where reasonably possible, we will explain the concern and provide an opportunity for it to be resolved.

Any financial consequences will depend on the circumstances and applicable law.

23. Equipment and Property

Our catering trailer, equipment and utensils remain our property unless otherwise agreed.

Guests must not enter restricted areas or interfere with equipment.

Where our property is damaged through deliberate or negligent conduct by you or your guests, you may be responsible for reasonable, evidenced repair or replacement costs to the extent legally recoverable.

We remain responsible for taking reasonable care of our own equipment and operations.

24. Events Outside Our Reasonable Control

Circumstances outside our reasonable control may include severe weather, flooding, significant transport disruption, utility failures, government restrictions or other exceptional events.

If such circumstances affect our ability to provide the agreed services, we will notify you as soon as reasonably possible.

We will take reasonable steps to reduce disruption and discuss available alternatives.

Any rearrangement, cancellation, refund or other remedy will be assessed fairly, taking account of services already provided, costs reasonably incurred and applicable law.

This clause does not automatically entitle us to retain the full booking price where services cannot be provided.

25. Our Responsibilities and Liability

We will provide our services with reasonable care and skill and comply with applicable legal requirements.

Nothing in these terms excludes or restricts liability where doing so would be unlawful, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or statutory consumer rights.

We ask that you notify us promptly of any issue so that we have a reasonable opportunity to investigate and, where appropriate, resolve it.

Any claim for loss or damage will be assessed according to the circumstances, applicable law and the extent of our legal responsibility.

26. Complaints

We want every customer to have a positive experience.

If you have a concern, please contact us as soon as possible.

Email
enquiries@atoasttotoasties.co.uk

Where an issue arises during an event, please tell a member of our team promptly where practicable so we can try to resolve it.

We will investigate complaints fairly and aim to respond within a reasonable time.

Nothing in this section limits your statutory rights.

27. Photography and Marketing

We may photograph our trailer, food and event setup for promotional purposes.

We will respect reasonable requests not to photograph identifiable guests or private areas.

Where required, we will obtain appropriate permission before using identifiable customer or guest images for marketing.

We will not publish confidential event information without an appropriate basis for doing so.

28. Personal Information

We collect and use personal information to respond to enquiries, manage bookings, provide our services and meet legal obligations.

For more information, please read our Privacy Policy, available on our website.

29. Changes to These Terms

We may update the Booking Terms & Conditions published on our website.

The version accepted when your booking is confirmed will normally apply to your booking.

We will not impose material changes to an existing confirmed booking without your agreement unless permitted by law.

30. Your Statutory Rights

Nothing in these terms affects your rights under applicable consumer protection law, including the Consumer Rights Act 2015.

Where a provision conflicts with mandatory legal rights, applicable law will take precedence.

31. Governing Law

These terms are governed by the laws of England and Wales.

If you are a consumer resident elsewhere in the United Kingdom, your mandatory legal protections and applicable rights concerning where legal proceedings may be brought remain unaffected.
